In detail
This policy explains how the City of Joburg e-Recruitment service handles your personal information under the Protection of Personal Information Act (POPIA). For the SA-law-specific data-category breakdown, read the POPIA disclosure.
- 01
What we collect
Profile·Documents·Activity
When you use the City of Joburg e-Recruitment service we collect the information you give us — name, ID number, contact details, qualifications, work history, CVs, cover letters and supporting documents — plus information generated by your use of the platform, such as which jobs you view, applications you submit, and basic technical data (browser, device, IP). We collect only what is needed to operate the recruitment service. - 02
Lawful basis
POPIA·Public-sector recruitment·Consent
We process your information under the Protection of Personal Information Act, 2013 (POPIA), with consent freely given when you create your account and submit applications, and where the City is required or permitted to process personal information in the course of public-sector recruitment. - 03
How we use it
Match·Review·Comply
We use your information to operate your account, match you with relevant City and municipal-entity roles, share your application with the appointed selection committee, communicate with you about the recruitment process, prevent fraud, and comply with our legal obligations. We do not sell your personal information. - 04
Who sees your information
Selection panels·Vetting·Service providers
Your application is visible to the appointed selection panel for the role you applied for, City HR, and (where required by law) vetting and verification bodies. We use vetted third-party service providers — for email delivery, hosting, identity verification — under written agreements requiring them to process your information only on our instructions and to applicable security standards. - 05
How long we keep it
PFMA·Municipal records retention
We retain recruitment records for the period required by the City's records-retention schedule and by the PFMA / MFMA, after which records are archived or securely destroyed. You may request earlier deletion subject to legal hold requirements. - 06
Security
Encryption·Access control·Audit
The platform uses encryption in transit and at rest, role-based access controls, and audit logging. No system is perfectly secure; we take reasonable steps to protect your information and we will notify you and the Information Regulator if a notifiable security incident affects your personal information. - 07
Your rights
Access·Correct·Object·Complain
Under POPIA you have the right to access your personal information, correct or delete it, object to processing in certain circumstances, and complain to the Information Regulator. Most of these you can exercise directly from your account settings. For anything else, contact the City Information Officer below. - 08
Cookies
Strictly necessary·Functional
We use a small number of cookies to keep you signed in and remember your preferences. You can clear or block cookies in your browser settings; some features (sign-in, saved searches) will not work without them. - 09
Children
Not for under-16s
The platform is intended for adults of working age. We do not knowingly collect information from children under 16. If you believe a child has supplied personal information without parental consent, please contact us so we can remove it. - 10
Changes
Material changes flagged in-platform
We may update this policy. Material changes will be flagged on the platform at least 30 days before they take effect, with a refreshed "Last updated" date below. - 11
